An MSDS book is a collection of MSDSs assembled into a single PDF document. Options allow you to select how the book is sorted, enter criteria to focus the book on certain products (as you might with a search or product report), and print additional product data along with each MSDS.
An MSDS book includes the following elements:
Title Page: Shows any book title and description you enter.
Table of Contents: Shows the product name of every MSDS in the book and the page number where it begins.
MSDSs: The text of each MSDS included in the book. Each text is preceded by a cover page showing its product name, manufacturer, revision date, and any other product data you select.
Note: For an MSDS's text to be printed in an MSDS book, the MSDS file must be in a TXT or PDF format.
You can generate an MSDS book in two different formats: standard print and double-sided print. These two formats are identical, except that a double-sided print has page numbers in alternating corners and inserts blank pages so each MSDS begins on an odd-numbered page.
Any MSDS book contains a maximum of 100 MSDSs. If more than 100 MSDSs are included in an MSDS book printing, multiple books are created. For this reason, each MSDS book printing also creates a book master index: a reference document listing all MSDSs in all books and the book in which each MSDS is found.
To print an MSDS book:
Starting at the Reports page
Click Print an MSDS Book on the left side of the display.
The MSDS Book Printing page opens.
To include products no longer used (archived products or products no longer in use at a selected location) in your MSDS book, select Include products no longer used.
To generate the book using default options, skip to step 5. To define options for this book, click Click here for Advanced Options.
An MSDS Book Options area is added to the display.
Enter the desired book options in any or all of the areas provided:
Title: Enter the Book Title and Book Description you want printed on the book's cover.
Locations: To focus the book on products at certain locations, select the desired location in the menu provided. Repeat to select multiple locations. The book will include only products assigned to one or more of the selected locations (or to their sub-locations).
Sorting: This area shows a list of product data types by which you can sort the book. The book (and its table of contents) will be sorted firstly by the first data type in the list, secondly by the second data type, and so forth. (Example: If Manufacturer is first in the list and Common Name is second, the products in the book is sorted alphabetically by manufacturer. If two or more products have the same manufacturer, they are sorted alphabetically by common name.) Select a data type and use the arrow buttons to move it up or down in the list. Repeat until the data types are in the desired order.
Criteria: In the fields provided, enter one or more criteria. The book will include only those products that contain all your criteria in the corresponding data fields.
Indexes: Select each data type you want printed on each MSDS's cover page.
Click Generate Book in the upper right.
According to your chosen options, MSDSs are selected and assembled into one or more MSDS books.
Click any of the displayed links to generate and open the desired PDF in your workstation's PDF-viewing tool:
Book Master Index: An index of all MSDSs in all books. For each MSDS, this index shows its product name and the book where its MSDS is found.
Standard Print: A complete MSDS book with title page, table of contents, and MSDSs.
Double Sided Print: Same as Standard Print, but formatted for double-sided printing. Page numbers are in alternating corners and blank pages are inserted to begin each MSDS on an odd-numbered page.
Use your PDF-viewing tool to save or print each PDF as desired.
